2008 PHILMONT PAYMENT SCHEDULE

(For Youth and Adults)

The following Payment Schedule is based on a $ 1500 -$ 1700 Expedition Fee, current Philmont Payment Deadlines and transportation providers.  If Expedition Cost or Payment Deadlines change amounts will be adjusted by proportional changes on each remaining due date.

If family experiences temporary problems in meeting payment schedule and extension to payment deadline is needed please contact Old North State Council Office PRIOR to due date.  We will work with you in handling problems of this type.

If participant is requesting Financial Aid which is usually limited to a 50% maximum of the expedition fee they MUST STILL PAY THE $ 100.00 Deposit, and make payments of at least one half of the amount due on each payment date.  All requests for financial aid MUST BE SUBMITTED prior to September 15, 2007 using the Application for High Adventure Financial Aid Form to the Old North State Council Office, and if applying for specific scholarship the appropriate application procedure must also be followed.

 If payments are more than 15 days late the adult participant or parents will be contacted to be sure that adult or scout still plans to participate in the expedition.  If payments are more than 30 days late without contact, participant is subject to being moved to BOTTOM of waiting list.

INITIAL $ 100.00 DEPOSIT FOR YOUTH AND ADULTS BECOMES NON-REFUNDABLE AFTER SELECTION TO EXPEDITION.  Refunds of deposit are only made under the following circumstances:

·          ADULT if not selected as advisor to expedition in May of 2007.

·          YOUTH if space not available to remove from waiting lists as of December 31, 2007.

·          Adult and Youth under unusual circumstances with High Adventure Committee Approval.

Since spaces are limited and waiting lists often develop no refunds of deposit will be made to participants who “decide not to go” “not longer interested”, something else came up etc.

Any requests for refunds of other payments in addition to initial deposit will be handled by the Old North State Council High Adventure Committee on an individual basis.  All requests for refunds should be submitted in writing to the HAC for review at their next scheduled meeting  

This is due to Council Expeditions having to make scheduled non-refundable non-transferable payments to High Adventure Bases, and transportation providers.  In general if an alternate IS NOT FOUND to replace the original participant refunds will be limited to the amount that is refunded to the expedition and Old North State Council.

IN UNUSUAL CIRCUMSTANCES sickness or injury to participant or serious family situation refunds are also possible if participant has to drop out of expedition at a late date.  In these cases the High Adventure Committee will review the situation and make the highest possible refund to the participant’s family.  This is sometimes possible since High Adventure Bases and Some Airlines have policies to cover situations of this type.
